Summer Updates: New Features to Enhance Your Condo Board Operations

This summer at Managemate, we’ve been hard at work bringing significant updates to our condo board software, with the goal of making board operations smoother and more efficient for our clients. We had the pleasure of collaborating with talented students through the Waterloo Coop program, where we not only helped students grow but also improved our product with their fresh ideas and dedication.

Of course, it wasn’t all work! We balanced our efforts with fun game sessions that helped us bond as a team and return to our projects even more energized. In addition to the new features, we’ll be sharing below, we’ve also made some behind-the-scenes enhancements to improve overall performance — what we like to call “necessary but invisible improvements.”

Introducing Managemate’s “One-Click” Management Report

One of our biggest updates this summer was the addition of the Management Report tab in the Activities page. We know how time-consuming it can be for property managers to generate and share reports with board members, so we’ve streamlined the process. This new feature allows property managers and board members to easily create and view a dynamic and real-time Management Report, which includes six sections to organize board-related activities:

  1. Activity for Board Decision: Displays all activities tagged as "Activity for Board Decision."
  1. Activity for Board Discussion: Displays all activities tagged as "Activity for Board Discussion."
  1. Activity for Board Information: Displays all activities tagged as "Activity for Board Information."
  1. Activity Deferred: Displays all activities tagged as "Activity Deferred."
  1. Overdue: Displays overdue activities with the "To Do" status.
  1. Completed: Displays activities with the "Completed" status.

Move an activity through your board’s typical workflow by adding and removing the most appropriate tag. Managemate automatically moves the activity into the relevant group in the Management Report tag, saving you time manually copying and pasting updates into a MS Word or PDF report.

This new feature will improve organization and make it easier to track progress by giving you an ability to organize your work for your upcoming board meetings.

Get a Summary of the Day in Managemate’s Newly Designed Daily Digest Email

To improve communication and visibility, we’ve added more information to our daily digest email, which all users receive at 5 pm local time (unless they have opted out by customizing their notification preferences). The new daily digest includes information about completed activities and projects, as well as information about newly added records like documents and invoices. This update ensures that everyone stays informed and keeps track of completed tasks without needing to constantly check the platform. Get one update per day, instead of several emails every day (or instead of having to wait for updates at the end of the month!).

Faster Project, Document and Vendor Editing

We’ve made it easier to update project, document, and vendor details. Now, when viewing the details on these pages, you can simply click on any information to edit it — no more scrolling up to find the edit button! This improvement speeds up the process and makes editing information more intuitive.

Designate a Project Coordinator to Keep a Project Up To Date

Without a clear point of contact, projects can stall, updates become sporadic, and overall accountability is lost. That’s why we’ve introduced the ability to designate a project coordinator for each project. This feature helps clarify responsibilities and ensures that everyone knows who is responsible for keeping the project organized. You can easily see the project coordinator in the Project view page and in the “Active Projects” section on the Dashboard. Additionally, property managers and board members can also filter projects by coordinator on the Projects page.

Exporting Project Lists Made Easy

In another enhancement to project management, we’ve added the option to export your condo’s list of projects to a CSV file. Apply any filters you need, click the green button with three dots, and select “Export List to CSV.” The file will automatically download to your device — easy and efficient!

Enhanced Collaboration with Multiple Assignees for Activities

Sharing responsibility across a team is now much easier. Now, you can assign any number of users to a single activity, making teamwork and collaboration more seamless. Each assigned user will be notified when they are assigned a task or set as the organizer for an event. Any of the assignees can mark an activity as complete, ensuring everyone is on the same page.

Update Activities in One Step

Good news! Based on your feedback, we’ve eliminated the two-step approach for editing activities. Now, you can edit all the most used fields in an activity, like the start date or tag, without having to navigate to another page. It’s a small change, but we believe it will make a big difference in your workflow.

Avoiding Duplicate Records

Finally, to reduce redundancy, we’ve introduced a feature that notifies you before accidentally creating duplicate records. Now, whenever a user creates a new document, project, vendor, invoice, or tag, and the name being typed matches an existing record, a message box will appear showing possible duplicate records. This will help you see if there are potential duplicates, before saving your new record.
